Speed.  In general terms, the more you tend to spend on your multifunction printer, the faster print speeds you will get. This is typical of most printers and has been for some time. This goes double if color printing is involved and fast color printers can get very pricey.

DPI. Before you buy a multifunction printer, check out what its DPI rating is. DPI stands for dots per inch. Having a higher DPI allows you to have higher quality images when you print. It’s kind of the same as a television’s resolution. The higher the resolution, the better the picture quality.

Memory. The more memory you need means the more money you are going to have to spend. It’s just like speed, if you want the best, then you are going to have to pay for the best. Home offices should shoot for a device that has around 8MB of memory with more traditional offices aiming for 16MB. This isn’t a live or die guideline though. Figure out your printing needs ahead of time to determine your memory needs.

Test. The best thing you can do is test your multifunction printer before you buy it. If you start it up and you hate then interface, then you probably are not going to love it in the future. However, don’t necessarily rule out a device that has complex functions, you may learn to use them well and find that they are extremely useful.

Copiers are some of the most useful, if not *the* most useful, business machines in the office world. However, if you do not know how to properly maintain your copy machine, you will probably end up decreasing the lifespan of the copier, which in turn will decrease the efficiency and productivity of your office. Read on to learn some maintenance tips to extend the lifespan of your copy machine.

Before you start cleaning your copier, you should have the following items on hand: anti-static cleaner, a Mylar bar, silicon oil and a toner vacuum. Also make sure your copier is unplugged and you have your copier’s instruction manual with you, as the manual has a more detailed instruction for the care and handling of the copy machine depending on the brand.

1. Any kind of dust or particles on your copier’s scanner glass will affect the quality of scan, so make it a point to regularly clean it. When cleaning the scanner glass, always use a special anti-static cleaner liquid made especially for copiers.

2. The drum of your copy machine is the part where the toner and paper attaches. The drum is attached to a toner cartridge and uses high intensity light to make it conductive. Cleaning this part of your copier on a regular basis removes excess toner from your machine for better quality output. A Mylar bar (which should already be inside your copier) can be used to clean the drum. The Mylar bar looks like a plastic or rubber blade.

3. The fuser is the part of your copy machine responsible for melting and pressing the toner image onto the paper. To clean this part, use a very light coat of silicon oil on a cloth until the fuser is completely clean. Then use a different, clean dry cloth to dry off the fuser.

4. Periodically cleaning and vacuuming the toner copier will ensure the flow of ink is consistent and continuous, for better printing quality. Most make the mistake of using an ordinary vacuum in cleaning the paper and toner areas, however the static charge from the toner can build up in the vacuum, giving you an electric shock. Special vacuums are specifically made for cleaning copiers, so make sure to invest in one of these to extend the lifespan of your copier.

If you are unsure about which part is which in your copier, don’t be afraid to call on service providers that sell copiers for questions. If there are other technical problems beyond your reach, a provider is more trained and experienced in handling technicalities.

One of the first items that comes to mind when people think of saving the environment is paper waste.  Many businesses have gone digital in order to cut down on paper usage; however, there are several situations where hard copies of documents remain a necessity. Toshiba Tec has taken this concept to a new level by developing a copier designed to erase toner from paper. It uses a special ‘erasable toner’ that loses its color when heat is applied, thus “erasing” print from paper. Printed paper is fed into the copier, which heats up, erases the print, then outputs clean paper. This allows for the paper to be reused once the printed contents are no longer needed.   It doesn’t require a special kind of paper for this, which is a plus, so you will be able to use the copier paper that is being used with your current copy machine. 

The advantages to this type of copier is that paper can be reused instead of thrown away, which cuts down on having to purchase new paper. Less demand for paper=more trees. More trees=better environment.

The disadvantages to this is that even though the copier erases the toner and puts out “clean” paper, you can still see a faint image of what was previously printed on the page, which means this is not an ideal process for sensitive documents. You would also need to make sure that documents printed with this copier are not exposed to extreme heat, such as being left in a hot car, so that the print doesn’t erase! Finally, only documents printed with this copier can be erased; you can’t just put random documents in and erase them to reuse the paper. So items such as flyers, useless mail, and the like, would not be able to be saved to reuse at a later time.

This is still a very early technological break-through, so in time perhaps the pros will far out-weigh the cons for investing in this type of copier. It is interesting seeing where technology is heading in the copier world, however, as more and more companies continue trying to “green up” copy machines in order to spare the environment from future waste.
